TAKAOKA TOKO CO., LTD. (the “Company”) believes that it has an important corporate social responsibility to properly handle and promote the protection of personal information as a business operator handling Personal Information set out in the Act on the Protection of Personal Information, and, to fulfill this responsibility, we will appropriately handle personal information in accordance with the following policy.

This policy does not cover the “Individual Numbers” and “Specific Personal Information” under the Act on the Use of Numbers to Identify a Specific Individual in Administrative Procedures.

Definition of Personal Information

“Personal information” means information relating to a living individual which falls under any of the following items:

  1. information containing the name, date of birth, or other descriptions, etc. (meaning any and all matters (excluding an individual identification code in (2) below) stated, recorded, or otherwise expressed using voice, movement or other methods in a document, drawing, or electromagnetic record) whereby a specific individual can be identified (including information which can be readily collated with other information and thereby identify a specific individual); or
  2. information containing an individual identification code stipulated in Article 2, paragraph 2 of the Act on the Protection of Personal Information.

Compliance with Laws and Regulations, etc.

The Company will comply with the Act on the Protection of Personal Information and other laws and regulations stipulated for handling the Personal Information, and other norms related thereto.

Purposes of Collection and Use of Personal Information

The Company will collect the Personal Information in a lawful and fair manner.
When collecting the Personal Information, the Company will specify the purposes of use of the Personal Information in advance to the greatest extent possible, and publish or provide notice of such purposes through this Privacy Policy or other reasonable means. The Company will then handle the collected Personal Information in accordance with the purposes of use that the Company published or provided notice of in advance.

The Company will use the collected Personal Information for the following purposes.

  1. Personal Information concerning customers and clients

    • shipment, organization, and provision of information concerning products and services
    • sales, repair, and maintenance of products, and provision of after sales services
    • planning, research, development, and marketing of products
    • implementation of consigned business
    • negotiations, implementation of meetings, provision of information, and liaison, etc.
    • dealing with various inquiries or document requests, etc., and related records
    • guidance and operation of seminars, conferences, exhibitions, events, contests, campaigns, etc., sponsored, co-organized, supported, or exhibited by the Company and each of its group companies
    • management and historical records of access to the facilities managed by the Company and each of its group companies
    • surveys and records under laws and regulations, etc., as well as notifications, reports, etc., to government or public offices
    • operations associated with each of the foregoing tasks
  2. Personal Information concerning shareholders

    • exercise of rights and fulfillment of obligations under the Companies Act
    • management and recording of general meetings of shareholders
    • provision of services to shareholders
    • management of shareholders and shares, such as preparation of data under laws and regulations
    • provision of information to shareholders concerning IR activities
    • operations associated with each of the foregoing tasks
  3. Personal Information concerning prospective employees

    • provision of information to prospective employees (including internships) and execution of operations relating to recruiting activities
    • management of recruiting operations
    • operations associated with each of the foregoing tasks
  4. Personal Information concerning officers and employees of the Company and its group companies, and their families and relatives, as well as past officers, past employees, and their families and relatives

    • liaison activities and various procedures in the course of business
    • liaising with health insurance organizations, corporate pension funds, employee shareholding associations, and labor unions, as well as liaising within the Company and each of its group companies
    • surveys and records under laws and regulations, etc., as well as notifications, reports, etc., to government or public offices
    • execution of operations relating to human resources and labor management
    • operations associated with each of the foregoing tasks
  5. Personal Information not listed in the above

    The Company will provide notice of or publish from time to time.

Ensuring the Safety and Accuracy of Personal Information

The Company will take necessary measures in order to prevent leakage, loss, damage, or unauthorized access, etc., involving the Personal Information, and will conduct appropriate management of the Personal Information.
The Company will endeavor to ensure that the Personal Information in its possession is accurate and up to date within the scope necessary to achieve the purposes of use.

Disclosure to Third Parties

The Company will not disclose the Personal Information fulfilling the requirements of Article 2, paragraph 6 of the Act on the Protection of Personal Information (the “Personal Data”) to third parties except in the case where any of the following items applies and where it corresponds to “Sharing Within the Company’s Group” below:

  1. where the consent of the individual has been obtained;
  2. where it is necessary for the protection of human life, body, or property, and it is difficult to obtain the consent of the individual concerned;
  3. where providing the Personal Data to subcontractors or consignees within the scope necessary to achieve the purposes of use; or
  4. other cases where it is permitted to disclose the Personal Data to a third party under laws and regulations such as the Act on the Protection of Personal Information.

Sharing Within the Company’s Group

The Company may share names, addresses, and phone numbers of individuals, and all items of the Personal Data retained internally within the Company and each of the Company’s group companies mutually, within the scope of purposes of use listed in “Purposes of Collection and Use of Personal Information” above. The management representative of the Personal Data in this case shall be the Company.

Requests Pertaining to the Retained Personal Data

If an individual intends to request any of the following responses concerning its Personal Data retained by the Company (the Personal Data which fulfills the requirements of Article 2, paragraph 7 of the Act on the Protection of Personal Information Act; hereinafter the same), please contact the information desk listed in “Inquiries Concerning Personal Information.” We will promptly deal with the request if it meets the requirements of the Act, after confirming that it is the request from the individual concerned.

  1. notification of purposes of use;
  2. disclosure of the retained Personal Data where the individual is identified;
  3. correction, addition, or deletion pertaining to the retained Personal Data where the individual is identified; or
  4. cessation of use, deletion of the retained Personal Data, or cessation of disclosure of the retained Personal Data to a third party.

Organizing Internal Systems

The Company will provide in-house training and education to our officers, employees, etc., in order for them to comply with laws and regulations stipulated for handling the Personal Information, and other related norms.
The Company will assign personnel to supervise the management of the Personal Information and will make efforts to properly manage the Personal Information by implementing internal audits periodically.

Review of Initiatives

In accordance with the revisions, etc., to laws and regulations, the Company will review the above initiatives as necessary and make efforts to improve them.
